Cancellation Policy

This Cancellation Policy (“Policy”) outlines the terms and conditions under which clients (“Clients”) may cancel services provided by DIGIT ZERO (“the Company,” “we,” “us,” or “our”). This Policy applies to all technical consulting, software development, and operation management services offered by the Company.

2. Cancellation Notice Period

2.1 Clients wishing to cancel any service must provide written notice to the Company at least thirty (30) calendar days prior to the intended cancellation date.

2.2 The notice period begins on the day the Company receives the cancellation request, provided it is received during normal business hours. If received outside of business hours, the notice period will commence on the next business day.

3. Cancellation Procedure

3.1 All cancellation requests must be submitted in writing via email or postal mail.

3.2 Cancellation requests must include:
a) The authorized person’s signature
b) The company stamp (if applicable)

4. Cancellation Fees

4.1 Standard Cancellation Fee: A cancellation fee of 15% of the remaining contract value will be applied to all cancellations made with the required 30-day notice.

4.2 Late Cancellation Fee: A cancellation fee of 30% of the remaining contract value will be applied to all cancellations made with less than 30 days’ notice.

5. Refunds and Exceptions

5.1 Refunds: The Company will process refunds for any prepaid services that will not be rendered due to cancellation, less applicable cancellation fees.

5.2 Exceptions to Cancellation Fees: The Company may waive cancellation fees in cases of unexpected circumstances such as:
a) Business disruption
b) Natural disasters
c) Other force majeure events

5.3 The determination of whether a circumstance qualifies for a fee waiver is at the sole discretion of the Company.

6. Service Continuation During Notice Period

6.1 The Company will continue to provide services during the 30-day notice period unless otherwise agreed upon in writing.

6.2 Clients are responsible for payment of services rendered during the notice period.

7. Non-Refundable Services

Certain services, such as completed consulting sessions or delivered software modules, are non-refundable once provided, regardless of the cancellation notice given.

8. Modifications to This Policy

8.1 The Company reserves the right to modify this Cancellation Policy at any time. 8.2 Any changes to this Policy will be effective immediately upon posting on our website. 8.3 Clients are advised to review this Policy periodically for any changes.
